Look, we get it - privacy policies can be a real slog. But as a law firm, we're kinda obligated to be straight with you about how we handle your information. This isn't just legal mumbo-jumbo; it's actually important stuff.

At Kyronthavex Legal Partners, we've been handling sensitive business information for years, and we take that responsibility seriously. This policy explains what info we collect when you visit our site or work with us, what we do with it, and how we keep it safe. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) because, well, it's the law, but also because it's the right thing to do.

By using our website or engaging our services, you're agreeing to the practices described here. If something doesn't sit right with you, let us know - we're always open to questions.

Personal Information You Give Us

When you reach out or hire us, we'll collect things like:

  • Your name, email, phone number, and business address
  • Company details and your role there
  • Information about your legal matter (obviously)
  • Payment and billing info when we're working together
  • Any documents or correspondence you share with us
Stuff We Collect Automatically

Like most websites these days, we automatically gather some technical data:

  • IP address and general location info
  • Browser type and device you're using
  • Which pages you visit and how long you stick around
  • Where you came from (referring site)
  • Date and time of your visit

We don't collect anything we don't need. If you're just browsing our site, we're not gonna ask for your life story.

We're not collecting your info just for kicks. Here's what we actually do with it:

Providing Legal Services

This is the big one. We need your information to represent you, communicate about your case, prepare documents, and generally do the legal work you're paying us for.

Communication

Responding to your inquiries, sending updates about your matter, sharing relevant legal developments that might affect you.

Administrative Stuff

Billing, scheduling meetings, maintaining our client database, keeping records as required by law society rules.

Website Improvement

We use analytics to see what's working on our site and what isn't, so we can make it better for everyone.

Legal Compliance

Sometimes we're required by law to maintain certain records or report specific information. Comes with the territory.

We won't use your personal info for marketing unless you've explicitly said that's cool with you. And even then, you can opt out anytime.

Let's be clear: we don't sell your data. Period. But there are some situations where we might need to share it:

With Your Consent

If you tell us it's okay to share info with someone (like expert witnesses, co-counsel, or other advisors), we'll do that.

Service Providers

We work with trusted third parties who help us run our practice - think cloud storage providers, IT support, billing services. They're contractually obligated to keep your info confidential.

Legal Obligations

If we're legally required to disclose info (court orders, regulatory requirements, etc.), we'll comply. But we'll notify you first unless we're prohibited from doing so.

Business Transfers

If our firm merges with another or gets acquired (unlikely but possible), your info would transfer to the new entity. They'd still be bound by this privacy policy though.

All our service providers are vetted and bound by confidentiality agreements. We're picky about who we work with precisely because we're handling your sensitive information.

Security isn't just an IT checkbox for us - it's fundamental to what we do. Here's how we protect your information:

  • Encryption: All data transmission is encrypted using SSL/TLS protocols. Files at rest are encrypted too.
  • Access Controls: Only team members who need access to your info get it. We use role-based permissions and multi-factor authentication.
  • Secure Infrastructure: Our servers and cloud storage meet industry security standards. Regular security audits and updates.
  • Physical Security: Our office has controlled access, surveillance, and secure document storage.
  • Training: Everyone on our team gets regular training on data security and client confidentiality.
  • Incident Response: We've got protocols in place for handling any security incidents quickly and transparently.

That said, no system is 100% foolproof. We do everything reasonable to protect your data, but we can't guarantee absolute security (and honestly, anyone who claims they can is lying). If there's ever a breach that affects your information, we'll notify you ASAP and tell you what happened and what we're doing about it.

We don't hold onto your information forever, but we can't just delete everything the minute a matter closes either. Here's our approach:

Client Files

We're required by law society rules to maintain client files for a minimum period (usually 7-10 years depending on the matter type). After that, we'll securely destroy them unless there's a good reason to keep them longer.

Financial Records

Tax laws require us to keep financial records for at least 7 years. Can't get around that one.

Marketing Communications

If you've signed up for updates or newsletters, we'll keep that info until you unsubscribe.

Website Analytics

Anonymous usage data is typically retained for 26 months, then automatically deleted.

When we do delete data, we make sure it's gone for good - secure deletion methods, not just dragging it to the recycling bin.

Yeah, we use cookies. Not the chocolate chip kind (though those would be nice). Here's the rundown:

Essential Cookies

These keep the site functioning - things like remembering you're logged into our client portal. Can't really turn these off without breaking stuff.

Analytics Cookies

We use these to understand how people use our site. It's all anonymized - we can see that someone from Montreal spent 3 minutes on our M&A page, but we don't know who.

Preference Cookies

These remember your choices, like if you've dismissed a notification or set a language preference.

Most browsers let you control cookies through their settings. You can block them entirely, though that might make some parts of the site not work as well. Google has a browser plugin that lets you opt out of their analytics specifically.

We don't use advertising cookies or do any of that creepy retargeting stuff where ads follow you around the internet. That's just not our style.

Under Canadian privacy law, you've got some solid rights when it comes to your personal information. Here's what you can do:

Access Your Information

You can ask to see what personal data we have about you. We'll provide it in a readable format within 30 days.

Correct Inaccuracies

If something's wrong or outdated, let us know and we'll fix it.

Request Deletion

In some cases, you can ask us to delete your information. There are limits here - we might be legally required to keep certain records, but we'll delete what we can.

Withdraw Consent

If you've consented to something (like marketing emails), you can change your mind anytime.

Object to Processing

You can object to how we're using your data in certain situations.

File a Complaint

If you think we're not handling your info properly, you can complain to the Office of the Privacy Commissioner of Canada. But honestly, talk to us first - we want to make things right.

To exercise any of these rights, just reach out to us using the contact info at the bottom of this page. We'll need to verify your identity first (can't just hand over someone's data to a random person claiming to be them), but after that, we'll process your request promptly.

Laws change, technology evolves, and our practices might need to adapt. When we update this privacy policy, we'll post the new version here and update the "Last Updated" date at the top.

If we make any major changes that significantly affect how we handle your information, we'll let you know directly via email (if we have your contact info) or through a prominent notice on our website.

It's worth checking back here occasionally to see if anything's changed. We try to keep things as stable as possible, but you know how it goes sometimes.

If you've got questions, concerns, or requests about your privacy or this policy, we want to hear from you. Seriously - don't hesitate to reach out.
